Office Coordinator and Team Assistant

Position Purpose:

The purpose of this role is to provide operations and administration support, to ensure the smooth running of Infomedia’s Sydney Office.

Type of Employment: Part-time, 25 hours per week in office

Key Responsibilities:

Office Admin

  • General Office Management
  • Organise and manage events and functions
  • General front desk duties, including accepting deliveries and greeting guests
  • Managing mail and booking couriers for the office
  • Purchase office equipment and supplies as required
  • Maintain weekly kitchen supplies
  • Contact for the building’s management team and cleaners, including notifying them of any repairs
  • Managing office security procedures, including security passes
  • Act as a Chief Fire Warden ensuring compliance with safety regulations to maintain a secure workplace environment

Team Assistance

  • Book travel for the Sydney Executive Team as needed
  • Review and submit all office related invoices to Accounts
  • Accurately process Executive team members’ expense claims, ensuring compliance with company policies
  • Any other ad-hoc assistance that can be provided to teams
  • Support Executive Assistant to the CEO as needed

What you’ll bring:

  • 3+ years plus in administration and/or similar role
  • Excellent Communication skills and attention to detail (verbal and written)
  • Able to multitask and juggle multiple tasks
  • Self-starter and can work independently
  • Proactive and positive attitude
  • Able to work in a fast-paced environment, organised
  • Well presented
